Description
Primary Duty/Job StatementThe accounts payable specialist is responsible for processing invoices and issuing timely payments to vendors, suppliers, and other external parties. The position involves verifying the accuracy and completeness of invoices, and when applicable, matching them with purchase orders and receipts.
- Fundamental Duties
- Analyze, code, and process invoices in a timely and accurate manner for multiple entities
- Monitor all invoices being processed through workflows and promptly resolve issues in the designated workflow error queues, coordinate with the IT department when necessary
- Monitor email inbox, promptly collect and upload received invoices to repository for processing
- Research and resolve invoice issues
- Work within daily, weekly, monthly and annual deadlines
- Process federal information returns (1099s)
- Review all expense reports for coding and documentation accuracy, pursuant to all company policies and procedures.
- Assist and train all cardholders, as necessary, with expense report questions and troubleshooting
- Prepare payment requests including selecting invoices to be paid on weekly check runs
- Reconcile vendor statements on a monthly basis, at minimum
- Correspond with vendors regarding past due invoices, overpayments and invoice errors
- Interpret and apply current sales tax rules for multiple states
- Post electronic invoices and payments from vendors
- Ensure timely payment to vendors based on contract terms
- File all applicable documents in repository
- Maintain relationships with external vendors and internal departments

Primary Duty/Job StatementThe Service Writer must be reliable, resourceful, be able to work accurately and independently and have great follow-through. A Service Writer’s responsibilities include documenting the repairs needed and scheduling appropriate mechanics for each job in our fleet management system. The Service Writer will ensure that the needs of our fleet are met, coordinate transactions and estimate both time & costs to ensure everything runs smoothly.
Essential Functions
- Fundamental Duties o Initiates repairs by ascertaining performance problems.
- Verifies warranty and service contract coverage, preparing work orders, and maintaining mechanic rapport and records.
- Ascertains automotive problems and services by listening to driver’s description of symptoms, clarifying description of problems, conducting inspections, taking test drives, checking vehicle maintenance records, and examining service schedules.
- Prepares work orders (WO) and necessary purchase orders (PO’s) by describing symptoms, problems, and causes discovered, as well as repairs and services required.
- Maintains automotive records by recording problems and corrective actions planned.
- Updates job knowledge by participating in educational opportunities and reading manufacturers’ publications. Maintain and schedule appropriate PM’s within fleet management software.
- Coordinate work orders with appropriate parts necessary for the job.
- Work closely with Parts Clerk to ensure necessary parts are in inventory at all times
