Essential Functions
- Fundamental Duties
- Vendor Administration
- Manage pending vendor registration and assist vendors with the set-up process and requirements
- Ensure vendors have an up-to-date contract, profile and other necessary documents
- Maintain vendor certificates of liability insurance
- Conduct ongoing maintenance of the vendor master file
- Maintain knowledge of legislative requirements and regulatory changes related to 1099 reporting and compliance
- Maintain and enforce policies, procedures, and controls
- Gain and maintain access to and compliance with various governmental systems, including, but not limited to, the US Internal Revenue Service’s Taxpayer Identification Number (TIN) Matching and Filing Information Returns Electronically (FIRE) services.
- Corporate Card Administration
- Administrator for credit card expense reporting system.
- Execute new user setup, new site/region setup and GL accounts, as well as all system and user-related maintenance.
- Administrator of corporate credit card program and fleet/fuel cards.
- Serve as primary contact between RB Stewart and credit card providers.
- Issue new cards to staff members through established approval process.
- Close accounts, disable logins and related access promptly upon receipt of termination tickets from HR.
- Management of credit limits and charge restrictions for all users.
- Lead communication efforts within the organization to keep cardholders informed of card program and expense report process changes, as well as compliance requirements.
- Occasional evenings and weekends work required to assist with cardholder troubleshooting for business-critical transactions.
- Create, maintain and disseminate related training materials
- Research and assist with resolving fraudulent activity cases.
- Coordinate with merchants and financial institutions to assist cardholders regarding credit card transactions, disputes, fraud prevention, and other related issues.
- Support cardholders in a polite and courteous manner by providing customer service 24/7 to handle any urgent or emergency situations that may arise involving credit card accounts. Follow up on pending cases and communicate with internal and external parties to resolve them in a timely and professional manner.
- Possess excellent communication skills, problem-solving abilities, and attention to detail and ensure cardholder satisfaction. Have a thorough knowledge of credit card products, policies, procedures, and regulations. Comply with all security and confidentiality standards.

- Systems Administration
- Setup new terminals, customers, locations, products and other items as necessary
- Prudently process authorizations and configurations related to fuel vendors, as well as new customers, locations, cost incurred and charges billed
- Process Improvement & Data Import Administration
- Initiate, assist with and implement new data imports and automation processes by collaborating with fuel suppliers and internal stakeholders
- Accounts Receivable Administration
- Make accurate bank deposits consisting of cash, checks and other financial instruments in a safe and secure manner.
- Prepare, post, verify, and record customer payments, and transactions related to accounts receivable.
- Create invoices according to company practices; submit invoices to customers.
- Reconcile the accounts receivable ledger and create reports

The Driver is responsible for operating a truck and trailer to deliver petroleum products. The Driver is responsible for the proper and efficient completion of assigned duties and operation of the assigned company vehicle, within Company policy.

Essential Functions
- Maintains equipment operation by completing inspections and preventive maintenance required; correcting vehicle deficiencies; adjustments and alignments; keeping records.
- Prioritize and assign workload in conjunction with dispatching needs.
- Communicate with dispatch and operations management regarding equipment needed for out of service repair.
- Review all driver vehicle inspection reports and create action plans for repair.
- Collaborate with repair team to diagnose problems with vehicles and plan repairs.
- Coordinate with Regional Maintenance Foreman, Scheduling, Dispatch, and District Ops to discuss vendor repair work.
- Determines vehicle condition by conducting inspections and diagnostic tests.
- Perform PM maintenance and HM183 inspections.
- Review work orders for accuracy, including all parts used, and ensure work orders are closed daily.
- Ensure all equipment complies with DOT federal and state regulations.
- Updates job knowledge by participating in educational opportunities; reading technical and regulation publications.
- Maintain accurate records of each repair performed on vehicles.
- Perform maintenance and repairs on equipment domiciled outside our market area that may require overnight stay.
- Handle preventative maintenance duties and reports.
- Assigns jobs/work to shop personnel as needed.

- Performs any level 1 & 2 mechanic repairs including electrical diagnostics, engine repairs, etc.

Physical/Cognitive Requirements
- Safely operate tractor-trailer unit within terminal premises, and drive equipment safely over roadways to either test drive or deliver to outside shop for tire maintenance and repairs.
- Lift 100 lbs. on a regular basis.
- Good hand-eye coordination, manual dexterity, and physical strength to lift heavy objects and work with tools and equipment.
- Ability to stand for extended periods and perform tasks in sometimes awkward positions.
Attendance/Schedule
- Monday – Friday: 8am – 5pm with after–hours callouts when needed. (Can vary with position needs)
Preferred Minimum Experience/Education
- High school diploma or equivalent.
- Preferred 7 years of mechanical experience.
- Experience with RTA or any brand of maintenance software.
- 406 Trailer experience preferred.
- Experienced in sourcing parts using multiple resources.
- Excellent communication skills.
- Full knowledge of all DOT requirements including HM 183 regulations.
- DOT Certification required.
- Knowledge and experience base required to meet the minimum requirement outlined in DOT HM 183 to be a registered tank inspector.
- Preferred Class A CDL with a hazmat endorsement (not required).
- Travel requirement 100%.
- Overnight Travel requirement 75%
